Changes to configuration data usually require that the changes be made in one system (instance) and transported to the production system (instance) once tested and approved. Very few people should have authorization to create and change configuration data, and changes to configuration data should be prevented in the production system. Examples of master data are functional location and equipment master records. These types of records are created and changed occasionally and, while more people will have authorization to create and change master data, that authorization will usually still be somewhat restricted. Examples of transactional data are notifications and work orders. Transactional data is created quite frequently, more often than master data. While it is sometimes common for many people to have the authorization to create and change notifications, there are often more restrictions on the work order, since the work order can be used to authorize work and accumulate costs. Master data and transactional data will be discussed further in the next several sections. Good representative examples of master data, including those previously discussed, are: Functional locations Equipment Materials Bills of materials Work centers although other data elements may be considered master data. Functional Locations Functional locations are most often used to define a physical “place” or “location.” However, they can also be used to define where a process occurs. Functional locations are usually related to each other within a hierarchy and it is not uncommon for more than one hierarchy to be defined. Most often, the hierarchy reflects where functional locations occur within other functional locations. For example, if the functional location at the top of a hierarchy reflects a plant, the functional locations directly below the top level (plant) might reflect areas of the plant or even buildings. As functional locations are defined downwards in the hierarchy, they might, in turn, reflect production lines, logical groupings of equipment, on down to the places where individual pieces of equipment can be “installed.” If the top level of a functional location hierarchy represents a plant and there is more than one plant in a company, it stands to reason that there would be more than one functional location hierarchy defined. It is possible to create an even higher level to represent a region, country, division, etc.The cost center hierarchy in the Controlling (CO) module will take those into account from a cost perspective. Whatever the highest level functional locations, create those first and then create others downwards in the hierarchy. This will ensure proper “inheritance” of values from the “parent” functional locations. The functional location to which another functional location is assigned is known as a superior functional location. Although not as commonly heard, functional locations assigned to another functional location are subordinate functional locations. Functional locations are created according to the structure indicators and edit masks defined in the Implementation Guide. If functional locations are created from the top level down in the functional location hierarchy, the lower level functional locations will automatically adopt the appropriate higher level functional location as their superior (parent) functional location. This allows the functional locations to “inherit” values (also as defined in the Implementation Guide) from their superior functional location. If lower level functional locations are created before the higher level functional locations, the link between a functional location and its superior functional location must be created manually. Although functional locations can be defined as equipment or machines, it is most often convenient to think of a functional location, particularly a lower level functional location, as a place where a piece of equipment can be located, placed or installed. One or more functional locations may be assigned to a “superior” functional location. One or more pieces of equipment may be assigned to a functional location (unless the functional location is set to prohibit or restrict such assignment). One or more pieces of equipment may be assigned to a “superior” piece of equipment (which means that those assigned pieces of equipment would become sub-equipment ). One or more materials can be assigned to a piece of equipment, in effect becoming an equipment bill of materials. Bills of materials will be discussed further. One or more materials can be assigned to a “superior” material, in effect becoming a material bill of materials (or an assembly ). The above potential assignments allow for the functional locations, equipment and materials to be structured as required. See below for the Functional Location Structure: Selection screen. Keep the number(s) low, even at 1, initially. Additional levels can be displayed on the resulting screen. The checkboxes on the screen determine what will be displayed. For the display of equipment, sub-equipment and bills of material, check the boxes Equipment installed, Equipment hierarchy and BOM explosion respectively. This transaction is best used if the functional location code is known. Transaction IH01, “Functional Location Structure: Selection” screen. Functional location numbers are not assigned by the system. When testing an initial data load of functional locations into a test system, be aware that functional locations can only be loaded once. It is a good idea to alter the records from the very first load test and then, when the data load works without fail, alter the data records to reflect their “real” state. When the final test load works without fail and the data records are in their “real” state, there should be no problem with the data load into the productive system. Reference Functional Locations Reference functional locations are not “real” functional locations and do not actually represent a specific location. They are best used when multiple similar functional locations need to be defined and maintained as a group. When a functional location is being created, it is possible to copy its definition from a functional location (“Function location” on the screen) or from a reference functional location (“Ref Location” on the screen). Copying the functional location from another functional location will simply copy the field values from the functional location being copied. No further relationship exists between the two functional locations. Copying the functional location from a reference functional location appears similar. However, a relationship is maintained automatically between the functional location being created and the reference functional location being copied. Whenever a field value is changed in the reference functional location, all functional locations copied from it will “inherit” the change. A reference functional location can save time when changes must be made to multiple similar functional locations. Equipment Equipment is most often the central object on which maintenance is performed. A piece of equipment may or may not be installed at a functional location, but its installation at a functional location allows it to inherit field values, such as cost center, from the functional location. Maintenance costs incurred to maintain a specific piece of equipment may be settled to the functional location’s cost center at which the equipment is installed at that time. As the piece of equipment moves from functional location to functional location, its maintenance costs are settled to the appropriate cost center. In addition, cost records can be viewed from the perspective of the piece of equipment or from a functional location. For example, the total cost of maintaining a piece of equipment, regardless of how many places that equipment has been installed, can be obtained from the equipment records. In addition, the total cost of maintenance at a particular functional location can be obtained from that functional location, regardless of which pieces of equipment have been installed at that functional location. So, by installing and dismantling pieces of equipment to and from functional locations, it is possible to not only review the maintenance cost of a piece of equipment regardless of the functional locations at which it has been installed, but also to review the maintenance cost at a functional location regardless of which pieces of equipment have been installed there. While more than one piece of equipment may be installed at a functional location, it is sometimes preferable to define a functional location for each piece of equipment to be installed. By defining a “one-to-one” relationship between functional locations and equipment, it is possible to analyze the performance and maintenance cost of an individual equipment location.
