Auto Reduction When receiving a do cument as long as or longer than the paper loaded, the machine can automatically reduce the data to fit your paper. If the fax machine cannot fit the data into one page with the feature enabled, the data is divided and printed in actual size on two or more sheets. The settings are On and Off. Discard Size If you turn the Automatic Reduction option o ff, you can set the fax machine to discard any exce ss image at the bottom of the page when r eceiving a document as long as or longer than the paper loaded in your machine. If the incoming fax is out of the margin you have set, it will be printed on tw o sheets of paper. The Discard Size can be 00 to 30 mm. Rings To Answer Y o u can select the number of rings before answering an incoming call. If you are using your machine as both a telephone and a fax machine (AUTO mode), we suggest you set the ring cou nt to at l east 4 to give you time to answer. The number of rings can be 2 to 7. ECM Mode Error correction mode compensates for poor line quality and ensures accurate, error-free transmission with any other EC M-e quipped facsimile machine. If the line quality is poor, transmission time may be increased when ECM is enabled. The settings are On and Off. The settings are On and Off. Befo re using this feature, Caller ID service must be installed on your telephone line by the telephone company. For more information, see Use Caller ID on page 24. Resolution Sets the default resolution when copying and faxing. The settings are: Standard, F ine, and Superfine. W hen dialing, just press the Loudspeak er button and enter the numbers. When your party answers, pick up the handset to talk to them. This feature is especially us eful for checking voicemail messages. While you ar e using Loudspeaker, do not place the handset beside th e speaker, as this may result in noise interference. TIP: Some papers have a side that’ s been cond itioned for printing. Th e print side is usually ind icated on the p aper’s pa ckaging. Always load with the prin t side facing you. For most faxes and copies, defa ult settings will work well. We recommend you use documents with a high contrast, such as, docume nts printed using a high quality printer, felt tip pen, black ink, or type writer. Th e paper should be white or very light, and of normal weight, not cardboard or onionskin. Blue lines on a ruled pad don’t fax well. Adjust volume Y ou can adj ust the volume level for both the ringer and the speaker. Ringer volume S Press ?? when the fax is in Ready mode to adjust the volume of the ringer. Whenever you press the button, it will increase or decrea se the volume. Speake r volume 1. Press Loudspeaker. 2. Then press ?? to adjust the volume of the speaker. Automatic fax redial When you send a fax, if the number yo u have dialed is busy or there is no answer, the machine will automatically redial the number every three minute s up to two times. NOTE: The volume 0 indicates that the machine will not ring when a call is received. Once you have subscribed to Caller ID services throu gh your local phone company, your machine can display caller information. See who called with Caller ID This function allows you to see who has called. Block junk fax numbers If you subscribe to Caller ID through your local phone company, you can block future faxes from numbers on the Caller ID List. Add a junk fax number 1. Press Menu repeatedly until BASIC FAX appears and press OK. 2. Press ?? until Set Junk Fax No.The machine shows the first Caller ID number. 4. Press ?? to find the Caller ID number you want to registe r as a junk fax and press OK. Y ou can enter up to 20 numbers.The machine shows the first junk number. 4. Press ?? to scroll to the junk fax number you w ant to delete and pre ss OK. Favorites Favorites enables you to store documents that are frequently faxed and send them to selected fax numbers wi thout the originals. Save a do cument 1. Load the documents face down in the document feeder. 2. Press Favorites repeatedly until Save appears and press OK. 3. Enter the document ID name (up to 15 characters) by using the numbe r keypad. 4. Press OK. The document will be scanned into memory. Exceeded Job Memory message appears when you try to save more than five Favorites. Delete a d ocument 1. Press Favorites repeatedly until Delete appears and press OK. 2. Press ?? and then OK to select one or all documents. If you select one document, press ?? and when the correct document ID is displayed, press OK. 3. Select Y and press OK when the machine asks if yo u are sure. Send a document 1. Press Favorites repeatedly until Send appears and press OK. 2. Press ?? to scroll to the document you want to send and press OK. 3. Enter the fax number. 4. Press OK when the correct number is displayed. If you have more destinations, sele ct Y and press OK whe n asked Another. If you select one document, press ?? and when the correct document ID is displayed, press OK. NOTE: When you use this feature, PHOTO contrast and SUPER FINE resolution are not supported. It prints a Sending Conf irm page with a mini aturized image of the first page of the fax on it. See the foll owing example. T o use image TCR, you must set these Menu options to On: Image TCR and Sending Confirm. Follow these instructio ns to set the menu options: 1. Press the Menu button repeatedly un til BASIC FAX displays and press OK. 2. Use the ?? buttons to scroll to Sending Confirm and press OK. 3. Use the ?? buttons to select On and press OK. 4. Use the ?? buttons to scroll to Image TCR and press OK. 5. Use the ?? buttons to select On and press OK. 6. Press Cancel to return to Ready mode. Distinctive ring (DRPD) Distinctive ring or distinctive ring pattern detection (D RPD) is a service offered by some telephone companies. When you subscribe to this service through your local phone company, you have different ring patterns; such as double ring and triple ring, that allow you to have different telephon e numbers on one physical line. Y our HP Fax works with distinctive ring service. Use Distinctive Ring to set your HP Fax to answer one of your phone numbers as a fax only line. The phone numb er (ring pattern ) that you teach the HP Fax will be answere d as if the machine is in F AX mode. All other numbers on the same line will be a nswered if they are in AUTO mode. NOTE: Image TCR is unavailable if the resolution is set to Super Fine. Call this fax from another f ax machine. Waiting Ring. will display. 4. Call th e HP Fax. DRPD OK will display when the pattern has been learned and the HP Fax will return to Ready mode. TIP: Distinctive ring must be set up ag ain if you reassign your fax number or connect the machine to another tele phone line. On ce set up again (that is, the fax machine has learned the ring pattern and the answering mode is correctly set), you should test the fax machine by calling the fax number and another number on the same line. The machin e should respond appropriately to a call placed to t he fax number with fax tones, and to a normal teleph one call with the e xpected ring pattern. See Distinctive ring (DRPD) on page 26. If the machine does not sense a fax signal, it will ring 5 times in a different tone to tell you it may be a regular telephone call. Y ou ca n receive a fax only by lifting the handset and pressing Start. (continued) How are you going to use you r HP Fax? Read about. Broadcasting With Broadcasting you can have your HP Fax send your fax up to 20 fax numbers at once. The document will be scanned in to memory before transmission. Delayed fax Y ou can set your machine to send a fax any time in the next 24 hours. Fo r example, it is usually cheaper to send a fax at night be cause telephone rates are lower than they are during the day. TIP: One touch butt ons do not work wit h Delayed Fax. The document will be scanned into memory before transmission and be sent at the programmed time. Polling Polling enables you to set up a docu ment so it can be retrieved at a later time. For example, you can place the docume nt in your machine, and the other party can retrieve it when they are in th e of fice or whe n their cal ling rates ar e lower. T o cancel Send Polling, see T o c ancel the schedul ed job on page 31. NOTE: Y our HP Fax allows you to set one poll job at a time and it can be retrieved once. The display shows To poll documents press Sta rt. 3. Press Start. 4. Enter the other fax’s Poll Code to retrieve the document, and press OK. The HP Fax receives and prints the polled document. T o cancel the scheduled job All scheduled jobs remain in memory after they have been set. T o make more memory available, cancel unnecessary schedu led jobs. 1. Press Menu repeatedly ADVANCED FAX appears and press OK. 2. Select Cancel Schedule by pressing ?? and press OK. 3. Select the scheduled job yo u want to cancel by pressing ??. 4. Press OK to cancel the selected schedule. Forward faxes While you are away from you r home or office, you do not have to miss important faxes. Y our machine can forward any faxes it receives to a fax machine at your current location, and if yo u choose, it can p rint a copy for you to review when you get back as well. TIP: One touch buttons do not work in this area. NOTE: If the other fax machine does not have a poll code, enter 0000. NOTE: Not all fax machines have pollin g capability, and polling incompatibility sometimes occurs between fax machines made by d ifferent manufacturers. Set the date and time The current date and time are shown in t he display when the machine is on and ready for use (Ready mode). Y ou can move the cursor by pressing ??. Enter the hour in 24-hour format. 7. Press OK. T urn on and off sounds Y ou ca n turn on and off the sounds the HP Fax makes. W akeUp sounds W akeUp sound will ring at a specific time set even when Silent Mode i s enabled. 1. Press Menu repeatedly until SET UP SOUND appears and press OK. 2. WakeUp Sound will display. Press OK. 3. Select On and enter the time you want the HP Fax to ring. Press OK. Select Off to turn off W akeUp Sound. Press OK. Alarm sounds Alarm sounds include th e fax tones and beeps. 1. Press Menu repeatedly until SET UP SOUND appears and press OK. 2. Press ?? to select Alarm Sound and press OK. 3. Select On or Off and press OK. 1 The “arrow buttons” located at the left and right of OK button on the control panel are designated by ?? in the instructions. 1 Silent mode Y ou can tu rn the sounds of the HP Fax (including ringing) on and off using the control panel button. Y ou can also set all sounds to turn off on a daily schedule; for exa mple, turn all the sounds off between 8 pm and 8 am. 1. Press Menu repeatedly until BASIC FAX appears and press OK. 2. Silent Mode will display. Pre ss OK. 3. Select On-Daily and press OK. From: 00h To: 23h will display. 4. Enter a start time and an end time and press OK. Set the fax header information This information is required by law in many co untries. Print report s Y our fax machine can print many reports for your use. Automatic rep ort s These reports print automatically. Some of these reports can be set to print automatically also. 1. Press Menu repeatedly until REPORTS appears and press OK. 2. Choose the report you want by using ??. 3. Press OK when the desired report is di splayed. 4. The selected report will be printed. The available reports are shown below: Report nam e Content Multi-Communication This report prints automat ically if you have faxed documents to more than one location by using Broadcasting. Power Fail Report If you have a scheduled j ob (such as, delayed fax and send poll) and there is a power failure, this r eport is printed automatically when power is restored. Report nam e Content Help List This report covers the mach ine’s basic functions and commands. It can also be used as a quick reference guide. Sent Journal Received Journal These reports show informati on concerning the transmission and reception activities. They can be printed on command. Or if the machine is set to do so, they will automatically print after every 40 transmissions or re ceptions. For more inform ation, see Auto Journal under the “BASIC F AX menu” o n page 13. Phonebook This report shows all of the numbers currently stored in the fax machine’s memory as One-T ouch Dial and S peed Dial. Sending Confirm This report shows the fax number, the nu mber of pages, elapsed time of the operation, the communication mode, and the communication results. T o set up your machine to automatically print, see Sending Confirm under the “BASIC F AX menu” on page 13. Schedule Inform This report shows the document currently stored for Delayed FAX and Send Polling along with the fax number, starting time and type of scheduled event. System Data This report shows the current settings of your HP Fa x. After you have changed any setting, print this report to check you r changes. Caller ID If Caller ID is turned on, this report shows the most re cent 30 callers who have called your machine. The report will be empty if you don’t have Caller ID turned on. Junk Fax This report shows the telephone number s that are marked as a junk fax to be blocked. Print Fax Y o ur machine stores fax data in to memory as far as the memory is available and lets you print it at later time. For more information, see Reprinting faxes on page 36. Y our mach ine stores the most recently received faxes in me mory (approximat ely 200 pages). Clearing memory Y ou can selectivel y clear information stored in your machine’s memory. 1. Press Menu repeatedly until MEMORY CLEAR appears, and press OK. The display shows the type of info rmation you can clear from memory. 2. Select what you want to delete by pressing ?? and press OK. 3. Select Y and press OK when the machine a sks if you are sure. The types of information you can clear are: NOTE: Unplugging the fax machine power cord and pluggin g it back in again clears the memory incl uding all unprinted or unsent faxe s. A power outage also clears the fax machine memory. Item It will Fax Header Delete the name and phone number from your fax header information. I n addition, all the scheduled jobs ar e also cancelled. Journal Clear all records o f transmissions and receptions. Factory Default Return all settings to factory defaults.
