controls manualControls can either be manual or automated; controls in most IT systems comprise a combination of both manual and automated controls. Additionally, manual controls can be used to monitor automated controls. Additional risks arise with the use of manual controls as they can be more easily overridden, susceptible to human error, and are inherently less consistent than automated controls. When implemented correctly they present a number of benefits including: the reduced risk that controls will be circumvented, enhanced segregation of duties, and timeliness and availability of information. As with all IT benefits, there are potential IT related risks. These include: reliance on inaccurate systems, unauthorized access to data, unauthorized changes to data, and possible loss of data. Internal controls are derived from the management process and the way the business is run. Small companies may implement controls differently than large ones, yet a small company can still have an effective internal control environment. Prior to joining Schellman in 2013, Terry worked as an associate in Grant Thornton’s Business Advisory Service division. At Grant Thornton, Terry had experience in executing and reporting on IT risk reviews including SOC 1 and SOC 2 reporting. Terry performed detailed reviews of proprietary and vendor software including: MS Dynamics (SP, SL) and Oracle Financials. Additionally he reviewed implementations of Oracle, SQL server, Windows Active Directory, Windows and LINUX environments. Additionally, internal controls allow auditors to perform tests to gain assurance that a process is designed and operating properly. In this post, we will discuss the definition of controls and examples of the different types of internal controls used to support business processes. Finally, we will also discuss how auditors rely on internal controls and how understanding that can help a company prepare for an upcoming SOC 1, SOC 2, HIPAA, or another type of audit. What are controls? According to the Committee of Sponsoring Organizations ’ (COSO), an “internal control is a process, effected by an entity’s board of directors, management, or other personnel, designed to provide reasonable assurance regarding the achievement of objectives relating to operations, reporting, and compliance.” The main goal of having internal controls is to set up key points in a process, which allows companies to track progress and sustainability of performance. In the next section, we will review control definitions and internal control examples. What are the different types of controls. When performing an audit, auditors will look to see that they can gain assurance over a process by focusing on four main types of internal controls. These types of controls consist of the following: Manual Controls IT Dependent Manual Controls Application Controls IT General Controls The four types of internal controls mentioned above are key as they are pervasive (or at least should be) in the processes that support the systems and services provided by service organizations to their user organizations (i.e., clients and customers). Control Definitions and Examples of Internal Controls Manual Controls Definition: Manual controls are performed by individuals outside of a system. Manual Controls Examples: Examples of manual controls could be a supervisor review and sign-off of a document, or bank reconciliation, or having an employee sign a privacy policy acknowledgment.http://www.connect-senior.ch/uploades/userfiles/dragun-tes-manual.xml In many organizations, these controls are done manually, hence the term manual controls. Since the operation of these controls depends on a human, it is key that these process points have owners. When manual controls are not owned by key personnel within the organization, they often will not operate consistently. This generally poses an issue because to properly test manual controls, a sample of transactions is chosen to confirm that the control has operated a defined period of time. If the control did not operate consistently, a deviation or exception will be noted within the audit report. IT-Dependent Manual Controls Definition: IT Dependent Manual Controls are similar to manual controls as they rely on a manual process from personnel but differ as a portion of the control requires some level of system involvement. IT-Dependent Manual Controls Examples: A system-generated report lists users that have not accessed (e.g., logged into a system) a particular system within the past 90 days. The internal control may require an administrator to review such reports and disable certain users whose accounts have not been accessed within the defined 90 days, as a result. The IT-dependent portion of this control is the system-generated report. The manual portion of this control is the administrator review of the report and disabling certain users as a result. Much like manual controls, IT-dependent manual controls should have a process owner. This will facilitate the consistent operation of these controls and avoid any exceptions being noted within an audit report. Application Controls Definition: There are many different forms of application controls. Virtually any configuration setting in a system that can be used to prevent or detect problems might be classified as a type of application control. Application Controls Examples: Google G-Suite and Microsoft’s Office 365 can be configured to require two-factor authentication (e.g., 2FA, MFA ) in order for users to log in and access system resources and data. Enabling 2FA helps prevent unauthorized users from logging in to the system. Another example, if the system is configured to lock-out a user that enters an incorrect password after three attempts, it has an application control that detects problems possibly associated with unauthorized access attempts. A third example could be that the system is configured to automatically download and apply security patches or updates to software (this would have likely helped prevent the Equifax hack (Google search Equifax and hack). Application controls which are also known as automated controls have a few benefits. One benefit is that because the control is the result of a configuration, they generally do rely on an individual to operate consistently. That being said, it is always a good idea to periodically check to confirm that the configuration has not been disabled for any reason or the configuration has not been modified. In the event that a configuration has been modified or is no longer enabled, this can result in an exception within the report. Another benefit of having application or automated controls is that there is generally only a sample of one versus many since it is based upon a system configuration. This creates efficiency in a process and saves time during an audit. IT General Controls Definition: This type of control is usually the focal point of most SOC audits. IT general controls are comprised of policy management, logical access, change management, and physical security. These processes and the controls supporting these processes are IT general controls. Another example could be the organization’s change management process tracks and documents that changes are authorized, tested, approved, and implemented into production. Moreover, it helps an organization gain assurance that changes happen in an environment where there is proper segregation of duties. IT General Controls can be a combination of manual and application controls. As such, the type of sampling to test these controls varies by control type. All other things being equal, preventative controls are generally superior to detective controls. The reason is this, it is usually easier and more cost-effective to correct a situation before a problem occurs than to correct a problem after detection. Those implementing internal controls into their environment will be well served by implementing a combination of preventative and detective controls with a greater focus on the former. What is the basic purpose of internal controls. The basic purpose of internal controls is to create touchpoints within a process that can be evidenced and reviewed and ultimately create accountability while also lowering the risk of fraud, waste, abuse, and simple mistakes. Internal controls are generally set up by management or the Board of Directors. They set up internal controls to gain assurance that objectives of an organization can be achieved. This can be to meet internal milestones or even external requirements such as an audit or industry standards. Finally, internal controls allow for a company to form metrics around the efficiency and effectiveness of a process. During the review of internal controls, it can become obvious that a process is working as expected or at times the operating effectiveness of controls can prove to have failures. This allows management to determine if a different process is required to better meet company objectives. Internal Controls and Coronavirus (COVID-19) During these times, it may seem like working and implementing controls is either impossible or irrelevant, but in fact, in high-stress times like these internal controls are even more important. The reason for this is that stressful times can create urgency which often leads to mistakes. But with controls in place, as mentioned earlier, controls can help lower the risk that they occur or will be caught during a review. There is another major difference many companies are having to work out, which is having much of their workforce work from home. There are a number of application controls that can help a company do this while protecting client information. Some examples include but are not limited to google hangouts, teams, zoom, skype for business, and GoToMeeting. Finally, the best course of action is to stay calm. The environment that your remote workforce is currently working in may not be perfect but that does not mean you should stress out and make decisions without proper testing and completing vendor due diligence. It’s important to keep working with the internal controls possible today and making changes as required to create a more secure environment and even better system of internal control with the main objective of protecting client information. Summary If the controls in the SOC audit report do not seem to fall into one of these four areas, it could be that a process is being described rather than a control. It’s also important to note that these definitions and descriptions work equally well for an audit of internal control in a financial statement audit, or for internal audits. I shopped a lot and decided this was the one for me, and at a lot less than I expected to have to pay.While that is true, I kinda think the Boinaire is worth that, even without the remote. Reasons: - Noise. Both fans the same size, with pretty much the same size bladges, but the Holmes is much noisier. I'm glad I planned this for the (super hot!) laundry room, not a bedroom, as its pretty loud. - The Bionaire Digital has temperature readout. You can see what the room temperature is, and set it to a temp to a target temp. With the Holmes you have a dial with dots from big to small. No indication what they are. On one hand this means it can't be poorly calibrated, on the other hand there is no way of knowing what temp you are setting unless you sit there and adjust it a lot. - Side extensions: the Bionaire came with two solid, and one expandable. The Holmes did not have an adjustable one. Fine, as long as you're house is a standard size. Ours is not. In general this is a fine fan, and if we had bought only one we might not be disappointed. But it is no competition for the Bionaire. That one is nice enough that we're ordering a second one for our bedroom!There is no 'always on' feature for the thermostat. Once outside temp gets to around 38-40F the fan shuts off even with the thermostat at the lowest settings. That will not be an issue for most, but I like my room COLD. I added a switch to selectively bypass the adjustable thermostat if I so choose.which for me, is always. The product works well and is fairly quiet. I am happy with it.I turned it on Intake and I started smelling an electrical burning smell coming from the fan. I turned it off and waited an our then tried to turn it on and nothing. Please try again Before discarding the first unit, I saved the good motor. Three years later a motor failed on my other unit. I took both motors out and discarded the bad one. The two functioning motors I took apart and cycled through the dishwasher with the fanblades. After drying and re-lubricating with a thick chain lube, I reasembled the fan and it is running like new again. I replaced the missing fan unit with this Holmes fan and have been thoroughly disapointed. Within a couple of minutes the right fan started chirping like a cricket and before the night was over the left fan started squealing. Apart from the noise, it didn't move half of the amount of air as my old Honeywell fans. I wish the old Honeywell fans weren't discontinued. This year I told myself that something has to be done about this as it really disrupts my sleep cycle and how much energy I have in the mornings. I was considering taking drastic action by buying a AC but first I wanted to try something that cost a bit lower. I heard about windows fans and people said they like them and they work well too. I looked around here and found this. A lot of people were saying good things about this fan and how it cools their room. I ended up buying it. When it arrived there was a little tear on the box. Luckily nothing inside was damaged. I was surprised to see that the unit was a bit bigger than I was expecting which was nice too because it can then move around more air. The unit came with a manual and a additional piece you can put on the unit to extend how much area it takes up in the window (if that makes sense). The unit itself looks nice and seems durable. There are two fans and the nice thing is that you can control the air flow for each of the fans. I typically turn both fans to the intake setting which takes cool air from outside and brings it into my unit. This is supposed to fit a vertical window but it works just as well in a horizontal window and I have attached a picture. I was a bit skeptical but within a few hours of using it I could notice a difference in my unit and how cool it was. I have one and I can clearly see after I turn the fan on the temperature on the monitor steadily decreases. I try and bring the room temp to 24 degrees Celsius. When it gets there that is the ideal temperature for me to sleep. I then turn off the fan and go to sleep without any issues at that point. Overall, I am quite happy with this purchase. I used to be tossing and turning and then would finally aim a fan at my face and then I would finally be able to sleep. The next day I would feel like crap since I did not get much sleep. Now with this fan I do not need to be doing that. I can bring the room temp to about as low as I want and then go to sleep. Also the speed dials are odd where the left dial has to be clicked up to change speed and the right has to be clicked down. If I had OCD that would drive me nuts lol. It was a somewhat easy install but how you pull out the window side cover part was a bit annoying as one of the parts you need to pull to extend the side cover is on the bottom so you have to keep lifting the unit up to stop it from locking the side cover until you have it extended to desired length.
